As an Executive Assistant, you will play a crucial role in supporting the senior Executives and ensuring that our operations run smoothly. You will be responsible for managing calendars, coordinating travel arrangements, handling confidential information, and providing administrative support to the Executive team.
Job Description
The Executive Assistant (EA) we are looking for is a professional who supports a high-level Executive or a team of Executives in the organization. In this role you play a critical role in ensuring that the Executive's day-to-day activities run smoothly, allowing them to focus on their core responsibilities. You are responsible for a range of tasks that can vary based on the organization's needs. Some of the responsibilities entail:
- Attend meetings and take accurate and comprehensive meeting minutes in English.
- Responsible for managing the Executive's calendar, which includes scheduling meetings, appointments, and conferences.
- Makes travel arrangements for the Executives, including booking flights, hotels, and transportation.
- Manages the Executive's phone calls, emails, and other correspondence, ensuring that they are promptly responded to.
- Provides administrative support to the executive, which includes managing files, preparing reports, and organizing documents.
- May be responsible for organizing events, such as conferences, meetings, and other corporate events.
- May assist with financial management, such as creating and managing budgets, tracking expenses, and processing invoices.
- May be responsible for organizing and maintaining confidential information, such as contracts, legal documents, and employee records.
- Serves as a liaison between the Executive(s) and other departments, ensuring that information is communicated effectively and deadlines are met.
- In some cases, provide personal support to the executive, such as scheduling appointments with personal doctors, managing personal finances, or running errands.
Job Requirements
- Bachelor's degree in Business Administration or related field
- 5+ years of experience as an Executive Assistant, preferably in a financial institution or corporate environment.
- Strong written and verbal communication skills in English, Dutch, Papiamentu and Spanish.
- Proficiency in Microsoft Office suite, including Outlook, Word, Excel, and PowerPoint.
- Excellent organizational and time management skills.
- Ability to work independently and with a team.
- Attention to detail and accuracy.
- Handle information discreetly and confidentially.
- Experience working with senior Executives in a fast-paced, international environment is preferred.
